Join Our Mission-Driven Team as an Administrative Assistant

Full-Time | $25/hr | Chicago, IL

The Sonia Shankman Orthogenic School (O-School) is seeking a highly organized, friendly, and detail-oriented Administrative Assistant to serve as a key part of our front office team. This is a full-time position with a pay rate of $25/hour and the opportunity to contribute to a dynamic, supportive educational community serving bright students with complex emotional and learning needs.

Our staff is passionate about helping each student reach their full potential through individualized educational and therapeutic services.

As a valued member of our administrative team, you’ll play a vital role in supporting the day-to-day operations of the school and ensuring a welcoming experience for students, families, and visitors.

Key Responsibilities

Serve as the first point of contact at the front desk-warmly greeting students, families, staff, and visitors.

Manage phone systems: direct calls, take messages, and respond to inquiries with professionalism and care.

Monitor school entry and assist with attendance and student transportation coordination.

Sort and distribute incoming/outgoing mail and deliveries.

Maintain front office supplies and light inventory.

Utilize the school’s electronic records system to file documents, generate and send reports, and handle confidential communications.

Support departments including Admissions, Student Services, and the Diagnostic and Evaluation Center by preparing student files, distributing reports, and scheduling appointments.

What We’re Looking For

High school diploma required; some college or a BA preferred

Strong proficiency in Microsoft Office Suite and comfort with learning new platforms

Excellent written and verbal communication skills

Ability to multitask in a fast-paced environment while maintaining attention to detail

Friendly, professional demeanor and a commitment to supporting students with emotional and developmental needs

Prior administrative experience in a school or healthcare setting is a plus

Working Conditions & Physical Requirements

Ability to lift up to 20 pounds

Comfortable sitting and working at a computer for extended periods

Capable of moving throughout a multi-room facility during the day

Compensation & Benefits

$25/hour (within a salary range of $23.50-$27.50/hr, based on experience)

Full-time position with comprehensive benefits package, including health insurance, paid time off, and retirement plan options
